13.1 Emergency Action Plan
Minor Injuries
- Provide first aid on-site.
- Complete an Accident/Injury Report or notify the Competitive Sports Office if the host site completed one.
Injuries Requiring Medical Attention
- Escort the injured to a medical facility.
- Complete an Accident/Injury Report.
- If unconscious, take the student to a medical facility.
- Contact the Competitive Sports Office immediately.
Emergencies
- Call 911, provide clear directions, and inform EMS if there’s an EMT present.
- Meet EMS at the entrance and guide them to the injured person.
- EMS will decide on transport.
- Maintain patient confidentiality and contact the Competitive Sports Office.
Vehicle Accidents
- Stop immediately and call 911 or local police.
- After contacting 911, notify the Competitive Sports Office or a graduate assistant/official.
- Complete a police report for insurance purposes.
- Collect names and addresses of witnesses.
- Avoid assigning fault or offering to pay damages.
- Follow the rental vehicle procedures if applicable.
Concussion Protocol
The on-site Competitive Sport Supervisor will assess and remove any participant suspected of having a concussion during activities at Department of Wellness facilities. A concussion form will be completed, and the participant cannot return until cleared by the OSU Health Center or a primary physician with written documentation.
If transported to the hospital at another location, an officer must submit an Accident/Injury Report, and a return-to-play form must be provided before re-participation.
13.2 Severe Weather Procedures
The Competitive Sports Office will decide on cancellations by 4 p.m on days of games. On-site decisions will be made by the supervisor. Once games are canceled, fields are closed for play. Forfeits / defaults prior to cancelled games are the team’s responsibility.
In the event of cancelled games, the Competitive Sports Office will communicate via email and update games on IMLeagues. Please check your email regularly on gamedays in question of games being cancelled.
OSU uses a lightning detection system that will notify staff and participants that lightning is within 8 miles of the outdoor facility. The system will continue to flash until no lightning is detected for 30 minutes. The timer resets with each new strike. All outdoor facilities must be cleared, and participants must seek shelter until the “all clear” horn sounds and the strobe stops flashing.
13.3 Tornado Procedures
In the event of a Tornado Warning, all Competitive Sports will be canceled, areas will be cleared, and staff will promptly escort participants who choose to seek refuge to areas designated below.
Colvin Fields, Annex and Tennis Courts: Competitive Sports Staff will clear fields/courts and escort participants to the Colvin Center locker rooms. Once participants have been escorted to this area, the Colvin Center Manager will assume responsibility in providing further instructions by following the building protocol.
Willis Fields: Competitive Sports Staff will clear fields and escort participants to the onsite restroom.
Western Fields: Competitive Sports Staff will clear fields and escort participants to the onsite tornado refuge area.
Colvin Center: Competitive Sports Staff will assist Center Manger in following building protocol
13.4 Assumption of Risk
All students who are involved with a club have the desire to participate. The student is aware that these activities involve physical and emotional risks, such as physical person-to-person contact, exertion, use of equipment and the use of indoor and outdoor facilities. The student voluntarily assumes all risk of accident, injury, damage, death and/or loss to themself or to their property which may arise out of participation in the club. The student also releases and discharges Oklahoma State University officers and personnel (paid or voluntary) for every claim, liability, or damage of any kind. The student should not have any medical impairment, disease, physical liability or injury that would prevent their participation in the club, and the student should have medical insurance that covers their participation.
Signing the Assumption of Risk Waiver is required of all club sports participants to practice or compete. The waiver can be signed once you are logged into DSE.
