7.1 Allocation From Activity Fee Allocation Process

The Club Sport Council receives annual funds from the Group II Allocation Committee. Clubs must submit a budget request detailing expenses, revenues, and requested support. The Executive Committee reviews each club’s budget and allocates funds to active clubs using the Allocation System in Section 6.

 

Funding Allocation Eligibility Requirements:

  • Active Status: See Section 2.2
  • Fundraising: 50% of the previous year’s allocation

 

Failure to meet these requirements may result in ineligibility to receive allocated funding.

 

Clubs are expected to supplement allocations through dues, fundraising or sponsorships.

 

Clubs that fail to follow policies or meet deadlines may lose part or all of their allocation.

 

Allocated funds will be disbursed 50% at the start of both the fall and spring semesters.

 

For Clubs to have active status, clubs are ineligible to apply for Group I and Activity Fee Allocation Process (AFAP) Funding. Clubs that receive Group I Funding are not eligible to be in the Club Sports program.

7.2 Fundraising

Clubs are encouraged to fundraise, with all activities requiring pre-approval from the Competitive Sports Office. Fundraisers cannot involve alcohol or tobacco. Donations deposited into foundation accounts may be tax-deductible. Clubs must match 50% of their Club Sport Council allocation through fundraising (excluding dues) by June 30.

7.3 Sponsors

Student organizations are encouraged to have sponsors to support the organization’s goals and financial needs. Sponsors cannot be tobacco, illegal or recreational drug products, businesses, or establishments. Sponsorship from alcohol vendors must be monetary and may not involve in-kind gifts.

 

While soliciting sponsorship:

  • Clubs may not offer modifications to University facilities (banners, reserved space, etc.) without approval from the Competitive Sports Office.
  • Clubs must follow all OSU Branding guidelines (see section 16.4) including but not limited to printed items, social media posts and club apparel/uniforms. Sponsor logos may not be in alignment with the OSU brand without approval from the Competitive Sports Office and University Branding.

7.4 Additional Funding Request

The Club Sport Council has a contingency fund for clubs needing extra funding. To apply, clubs must submit a detailed line-item budget explaining the request. The Club Sports Executive Committee will review and may approve full or partial funding.

 

To qualify, clubs must:

  • Show financial need
  • Be in good standing
  • Have fundraised 50% of their allocation or provide future fundraising plans

Requests are reviewed monthly. Urgent requests may be reviewed early if submitted promptly.

7.5 External Bank Account

Clubs may open an external bank account but must follow these guidelines:

  • The account cannot reference OSU or receive OSU funds.
  • The club must form a separate legal entity with its own EIN and assumes full liability.
  • Clubs should create bylaws, assign / outline board members, and legal consultation.
  • An individual (not an OSU employee) must provide personal info for the EIN.
  • The club is responsible for all bookkeeping, IRS/State filings, and tax returns.
  • Fundraising through this account does not count toward the required 50% fundraising match.
  • Club dues may not be deposited to external bank account and must be deposited to the Competitive Sports Office.
